Who collects your personal information?

Individual Business Units within the AdvT Group collects personal information from you and decides what to do with it. In compliance with Data Protection legislation, the Business Unit of the AdvT Group that collects the data is the Data Controller.

How do we collect your personal information?

Meetings and Direct interactions:

The AdvT Group Business Unit may collect your personal information when we meet you face to face, when you contact us either on the telephone or in writing, when you visit or use our website pages and when you use our services. We also collect information from you when you voluntarily complete customer feedback and/or research surveys, although you do not have to respond to these. We also gather information that you choose to provide by filling in a form on our website – including subscribing to newsletters and alerts, registering for an event or requesting content such as a white paper.

If you are a participant of an AdvT Group hosted online meeting, we may ask to record that meeting.

We will expressly state that the meeting will be recorded before recording begins.

There will also be notifications on-screen that the meeting is being recorded.

You can opt-out by switching off your webcam and muting your microphone, or by leaving the meeting entirely.

By submitting your personal information through our website, you shall be consenting to it being processed in the manner described in this notice by the AdvT Group.

Browsing History:

We also automatically receive and record information on our server logs from your browser including your IP address, cookie information and the pages on our website you visited.

Some of our websites use Google Analytics to collect information about visitor behaviour on our website. Google Analytics stores information about what pages you visit, how long you are on the site, how you got here and what you click on.

This Analytics data is collected via a JavaScript tag in the pages of our site and is not tied to personally identifiable information. We therefore do not collect or store your personal information (e.g. your name or address) so this information cannot be used to identify who you are.

Some of our websites also implement Google Analytics Demographics and Interest Reporting. This is used to gain an insight into the age, gender and interests of our users to help us make decisions on how to improve the website in the future. What personal information do we collect about you?

The AdvT Group Business Unit may collect your name, postal address, e-mail address, telephone number, employer’s name, work postal address and work email address.

We also automatically receive and record your IP address, cookie information and information regarding which pages on our website you access and when.

If you send your Curriculum Vitae to us we may also collect other personal details including your date of birth and National Insurance number. In connection with any application, request or enquiry you make, your information will be passed directly to the relevant business unit within the group. This is the only situation where information is shared between Business Units.

When we enter into a contract with you and need to process payment from you, we may also collect financial details including bank account details.

Where do we store your personal information?

We are committed to making sure that your personal information is kept secure. In order to prevent unauthorised access or disclosure and to protect against loss we use up-to-date industry procedures to keep personally identifiable information as safe and secure as possible. We will use our best endeavours to protect your personal information but we cannot guarantee its security on transmission to the website. Any transmission is at your own risk.

We store your personal information on our secure servers in our data centres based in the UK or on our corporate systems (such as CRM or Finance ERP).

We may also store your personal information with Microsoft Office 365, a cloud service provider who will store the personal information within the European Union.

We may also store your personal information with Microsoft Azure, a cloud service provider, who will store the personal information within the European Union.

Our website is hosted in the UK with a G-Cloud 13 approved supplier at an ultra-secure data centre with ISO 27001 certification that holds both Cyber Essentials and Cyber Essentials Plus status.

How long do we keep hold of your personal information?

We will hold your personal information only for as long as is necessary to provide our services, although sometimes we are required by law to keep your personal information for longer to comply with our legal obligations, resolve disputes and enforce our agreements. Do we share or disclose your personal information?

The AdvT group will not sell or rent your personal information to anyone. All the personal information we hold about you will be processed by our staff. We will send personal information about you to other companies or people only when:

Marketing:

We would like to use your personal information to send you marketing information about our products and services. This information will not be shared with third parties or other BUs without the group.

However, on occasions we may pass your details to our appointed printing agencies and marketing agencies working directly on our behalf.

How can you access your personal information?

You have a right to access your personal information by making a Subject Access Request to the AdvT Group at any time you wish to see what personal information we hold about you and how we are using it so you can be satisfied it is being processed lawfully. You can ask for copies of this information, and we will usually provide it free of charge and within one month of the date we receive your request (unless there are exceptional circumstances when we may then charge a reasonable fee to cover administrative charges or advise you that we require longer to deal with your request).
